These terms describe the rules for using SYNC, a web app for program check-ins, reflections, messages, and Journey documents. By creating an account or signing in, you agree to use the service responsibly. Your program administrator can answer questions about your enrollment.

The service

SYNC helps experiential learning programs run daily check-ins and reflections, group communication, staff review tools, and an optional end-of-program Journey document built from configured reflections and program content.

Program dates and stage windows use a shared program schedule (Hong Kong time, GMT+8). Availability of a given day depends on enrollment status and stage open/close times set by staff.

Accounts and eligibility

Students must create an account with the exact email address their program added to the roster. Accounts are for the person enrolled — do not share your password or sign in as someone else.

Staff access (admin, facilitator, group leader) is granted by the program’s operators and limited to the tools and cohorts appropriate to that role.

Acceptable use

Use SYNC only for legitimate program activities: check-ins, reflections, supporting messages, and related content your forms request.

Do not upload illegal, harmful, or harassing content; do not attempt to access another student’s account, private submissions outside your role, or system areas you are not authorized to use.

Media you upload must be content you are allowed to share for the program. Keep file sizes within the limits shown in the product.

Student and staff responsibilities

Students are responsible for completing check-ins and reflections during open windows when required, and for the accuracy of information they provide.

Staff are responsible for configuring forms, rosters, and unlock rules fairly; for handling wellbeing alerts and personal information carefully; and for using admin tools only for program purposes.

Your content and Journey documents

You retain rights in content you submit, and you grant the program the ability to store, display, export, and use that content as needed to run the program (including review, alerts, group sharing when you opt in, and Journey output when unlocked).

Check-ins stay out of Journey documents by design. Reflections and staff-configured program material may appear in your Journey after the program unlocks it (for example when a cohort is closed or an enrollment is marked complete).

Availability and changes

We aim to keep SYNC available, but the service may experience downtime, maintenance, or changes. Stage windows, forms, and access also depend on how your program configures the product.

Features may be updated over time. Significant changes for students and staff are often summarized on the public changelog.

Program operators and the platform

Your day-to-day experience is operated by the organization running your cohort (rosters, support, policies for the program itself).

The SYNC product provides the software and technical infrastructure. Questions about whether you should be enrolled, program rules, or wellbeing follow-up go to your program administrator first.

Plans and billing

The customer is the organization running the program, not students. Organizations start on a Free plan with published limits (students on the current roster, programs, and cohorts). Standard is a paid subscription for the organization (the interval is set in Stripe). Enterprise is arranged with SYNC and is not self-serve card checkout.

Paid Standard renews until canceled from Billing (or by SYNC). Canceling returns the organization to Free: existing students, forms, and Journey documents stay; the organization cannot add more than Free limits until it resubscribes or is granted another plan. Failed payments may pause the paid plan until the card is updated.

Prices and plan details are described on the public Plans page. Complimentary access may be granted by SYNC without a card.

Access and enrollment changes

Staff may change enrollment status (for example active, on hold, completed, or withdrawn), which can stop further check-ins or unlock Journey access according to product rules.

Abuse of the service, unauthorized access, or serious violations of these terms may result in restricted access as determined by program operators.
