This page explains how personal information is used when you use SYNC — a sign-in product for program check-ins, reflections, and messages. Your program (the organization running your cohort) decides enrollments and day-to-day access. Contact your program administrator for questions about your data or to request changes.

Who this service is for

SYNC is used by students enrolled in a learning program (for example a summer institute or workshop) and by program staff (admins, facilitators, and group leaders).

You create an account only if your email is already on a program roster. Staff accounts are set up by the program’s operators.

Account and roster information

When you create an account, we store your email and password in a secure authentication system, plus a profile (for example preferred name and optional school).

Program staff may also record information from the roster such as full English name, Chinese name, date of birth, country/region, application number, parent or guardian contact details, and a profile photo. Some of these fields are admin-only and are not shown to group leaders or other students.

You can update some of your own profile details in Account. You may request corrections to name or email fields that you cannot change yourself.

Check-ins, reflections, and Journey

Check-ins are short wellbeing-style responses. Program staff can review them in admin tools and may receive alerts when configured rules match an answer. Check-ins are not included in your final Journey document.

Reflections are deeper learning responses. Staff can review them, and when the program configures a Journey template, selected reflection content can appear in your Journey document at the end of the program.

Gallery-style photos you submit may be shared with your cohort only when a form offers that option and you opt in.

Messages and media

Messages you send to program staff, and group messages in your assigned group, are visible to the people involved and to admins who can support the conversation.

Files, audio, video, and photos you upload as part of a form or as a profile picture are stored so staff can review them and so Journey or profile features can display them when allowed.

Who on staff can see what

Admins can manage rosters, forms, submissions, alerts, groups, and exports for their organization.

Facilitators can access tools for the cohorts they are assigned, such as live session views and alerts within their scope.

Group leaders can message their groups and see a limited student profile for students in their groups (for example name, school, email, age, photo, and progress — not parent/guardian details or date of birth).

Emails and push notifications

If you turn on reminders, we may email you when a check-in or reflection window opens. Program staff may also receive email or team chat notifications when alerts fire.

If you enable browser push notifications where offered, a subscription token is stored so we can send reminders to that device.

Website analytics

When your program’s site is configured with Google Analytics, the product may collect high-level usage information (for example page views and events such as successful sign-in or completing a check-in).

Custom analytics events are designed not to include free-text answers, mood scores, names, emails, or other personal details as event parameters. Admin Insights inside SYNC remains the place for program-quality metrics derived from your submissions data.

Service providers

SYNC relies on infrastructure providers to run secure sign-in, databases, file storage, hosting, and optionally email delivery and web analytics. Your program’s operators choose which of these optional services (such as email or Analytics) are enabled.

How long data is kept

Enrollment status, submissions, messages, and exports are controlled by your program. Staff may complete, withdraw, or manage enrollments and retain records for program operations, wellbeing follow-up, and Journey documents as they run the program.

If you need a copy of your information or want data removed after a program ends, ask your program administrator — they operate your cohort’s data within SYNC.

Use Account for password reset, reminder preferences, profile picture, and corrections that staff approve.

Use Messages (when available) or the program support email shown in Account to reach your program team.
